Purpose

The IT Operations Co-ordinator plays a vital role in supporting the strategic and operational objectives of the IT Department. This role provides high-level coordination across infrastructure, cyber security, digital development, and governance programmes. The post-holder ensures that IT initiatives are effectively aligned with corporate goals, oversees the administration of department planning and policies, and supports the delivery of IT projects and reporting at Board and Committee levels. This role is critical to maintaining departmental efficiency, project execution, and regulatory compliance, while also supporting technology adoption through effective training material development for platforms such as SharePoint and Microsoft 365.

Key Responsibilities

Strategic and Operational Support

  • Translate business needs into IT requirements, ensuring alignment with strategic objectives.
  • Support the development and tracking of the IT department’s strategy across key workstreams: development, new core system, cyber strategy, and infrastructure.
  • Coordinate timelines, agendas, action tracking, and department-wide processes.

Project and Risk Management

  • Lead and support IT projects from initiation to delivery, ensuring successful execution and stakeholder engagement.
  • Support the management of the IT department’s risk register and coordinate internal audits and post-audit actions.
  • Assist with the renewal of cyber insurance and documentation for IT risk and governance.

Training and User Support

  • Develop, maintain, and deliver training materials and user guides to support the adoption of IT systems such as Microsoft 365 and SharePoint.
  • Identify user needs in collaboration with subject matter experts and ensure that materials align with system functions and business processes.

Infrastructure and Compliance

  • Oversee day-to-day IT operations and coordinate infrastructure performance.
  • Ensure IT activities comply with internal policies and external regulations, including GDPR and cyber security standards.
  • Implement and monitor IT security measures, policies, and procedures.

Governance and Reporting

  • Draft, prepare, and compile IT updates and reports for the Executive Team, MRCF, Risk and Audit Committees, and the Board.
  • Provide data analytics and performance reporting on department projects and initiatives.
  • Monitor KPIs and contribute to continuous improvement in IT service delivery and governance.

Vendor and Budget Management

  • Assist in managing software vendors, contract negotiations, and service delivery. Support budget planning, forecasting, and monitoring across IT initiatives.

Policy and Documentation Management

  • Coordinate the review and maintenance of IT departmental policies.
  • Organise and support IT governance meetings, including agendas, documentation, and minutes.
Relationships

Reporting to the Head of IT.

Skills, Knowledge & Experience
  • Strong Microsoft Office skills, experience with digital productivity and collaboration tools, and solid IT systems awareness.
  • Excellent oral and written communication skills.
  • High attention to detail with strong organisational and administrative capabilities.
  • Ability to manage multiple tasks, prioritise work effectively, and meet deadlines.
  • Sound understanding of IT strategy, security, governance, and infrastructure
